We built MyPDFtoExcel with privacy at its core. Your financial data is never stored, sold, or shared — period.

1. Overview

MyPDFtoExcel (“we,” “our,” or “the Service”) is a document conversion tool that transforms PDF bank statements into organized Excel files. This Privacy Policy explains how we collect, use, and protect any information you provide while using our Service.

The short version: Your PDF files are processed in memory and permanently deleted immediately after your Excel file is generated. We never read, store, or sell your financial data.

2. Information We Collect

2.1 Files You Upload

When you upload a PDF bank statement, the file is transmitted securely to our servers for processing. Our AI engine processes the file entirely in memory — it is never written to disk and is permanently deleted from our systems immediately after your Excel file is generated, typically within 30 seconds of upload.

2.2 Account Information (Pro & Business Plans)

If you create an account, we collect:

  • Email address (required for login and communication)
  • Name (optional, for personalization)
  • Payment information (processed by Stripe — we never see your full card number)
  • Conversion history (metadata only: date, file size, page count — never file contents)

2.3 Usage Data

We automatically collect basic technical data to operate and improve the Service:

  • IP address (anonymized after 24 hours)
  • Browser type and operating system
  • Pages visited and features used
  • Error logs (without file content)

3. AutoClear™ — Our File Deletion Policy

Our AutoClear™ system ensures that no uploaded file persists on our infrastructure beyond the processing window. Specifically:

  • Files are processed in isolated, ephemeral containers
  • No file content is logged, cached, or backed up
  • Generated Excel files are available for download for 15 minutes, then permanently deleted
  • No file content is ever written to long-term storage or databases

4. How We Use Your Information

We use the information we collect to:

  • Process your PDF and generate your Excel file
  • Manage your account and subscription
  • Send transactional emails (conversion receipts, billing)
  • Improve our AI models using anonymized structural patterns (never content)
  • Provide customer support
  • Comply with legal obligations

5. Data Sharing

We do not sell, rent, or trade your personal information. We share data only with:

  • Stripe — for payment processing (PCI DSS compliant)
  • Vercel — our hosting infrastructure (servers in the US and EU)
  • Support tools — only your email and account metadata, never file contents

6. Cookies & Tracking

We use minimal cookies strictly necessary for the Service to function (session authentication, CSRF protection). We do not use third-party advertising cookies or sell behavioral data to advertisers.

7. Data Retention

  • Uploaded files: Deleted within 30 seconds of processing
  • Generated Excel files: Deleted after 15 minutes
  • Account data: Retained while your account is active; deleted within 30 days of account deletion request
  • Anonymized usage logs: Retained for up to 12 months

8. Your Rights

Depending on your location, you may have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your account and data
  • Object to or restrict certain processing
  • Data portability (receive your data in a machine-readable format)
  • Withdraw consent at any time

We implement industry-standard security measures including TLS 1.3 encryption in transit, isolated processing environments, and regular security audits. See our Security page for full details.

10. Children's Privacy

MyPDFtoExcel is not directed at children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, contact us immediately at privacy@mypdftoexcel.com.

11. Changes to This Policy

We may update this Privacy Policy occasionally. We will notify you of significant changes by email (if you have an account) or by posting a prominent notice on our website at least 14 days before the change takes effect.
